I regret to announce that GEAA staff member, Francesca Camillo, has moved to
Austin and will no longer be working with us full time.  Happily, Francesca
will still be working with us on special projects and is committed to
maintaining her engagement in many of our programs.

Perhaps you know of someone who would be a great addition to our staff.  We
are looking to fill the position of Administrative Assistant here in our
office in San Antonio -Interesting work with plenty of room for advancement.
Salary is commensurate with experience and we will consider full time or 30
hrs. per week for the right applicant.

Job Description - Administrative Assistant/ Donor Relations Manager


TASK STATEMENT:

Assists with general administrative duties, data entry, grant
administration, fundraising and development for the Greater Edwards Aquifer
Alliance.



PERFORMANCE EXPECTATIONS AND STANDARDS:

Tracks and acknowledges individual donors (donations, honorariums,
memorials, etc); helps to administrate various fundraising campaigns;
maintains acknowledgement lists for programs; assists in expanding GEAA's
individual donor lists by acquiring new lists and contacts. Assists and
participates in designing projects amenable to fundraising. Helps to
coordinate special events. Assist in tracking information on application and
reporting deadlines. Prepares and maintains spreadsheets for projects and
grant funding. Monitors checking account status and pays bills on a timely
manner. Makes daily or weekly entries into QuickBooks. Creates and maintains
accurate grant files and summaries, create and generates thank you letters.
Keeping track of donor logos and acknowledgements for programs and providing
website maintenance with the necessary information. Maintain, update, and
file accurate information in the grant folders along with grant summaries.
Create and generates letters for GEAA Board and Executive Director as
needed.



TASK STATEMENT:

Assists in administration of in-kind donations, matching gifts and
contributions.



PERFORMANCE EXPECTATIONS AND STANDARDS:

Tracks, administers, and acknowledges in-kind donations, matching gifts and
contributions made by individual, foundations, corporations, public, private
and complex donors.  Maintains hard files and database with correct and
relevant information for all donations.



TASK STATEMENT:

Maintenance of the GEAA mailing list/Donor Database.



PERFORMANCE EXPECTATIONS AND STANDARDS:

Oversees and tracks revenues received from individual donors, maintains the
donor database. Enters new mailing list names as received, updates system
with all name and address changes, keeps the list clean, de-duped and
properly coded; responsible for all mailings; gathers new mailing lists; and
oversees targeted, fundraising, visibility, and general mailings.  Completes
mass mailing by correctly separating and organizing (in USPS mailing bins
and sleeves) letters according to zip code Prints list and labels for staff
and Board uses (i.e. special events.)  Responsible for entering and
maintaining all pledges given, keeps track of when payments are due and are
received.  Generates and mails invoices for payments due for all pledges.



TASK STATEMENT:

Maintenance of GEAA donor records/Donor Databases, and other Data Entry.



PERFORMANCE EXPECTATIONS AND STANDARDS:

Tracks and enters information on individual, foundation, public, private,
corporate and complex donors in hard files and in Donor Database.  Gathers
and enters contact information, giving histories, dollar amount of gifts,
ask and report deadlines, acknowledgements deadlines, special requirements,
and next contact dates.



TASK STATEMENT:

Maintains GEAA Archives.



PERFORMANCE EXPECTATIONS AND STANDARDS:

Collects materials and maintains archive files; distributes materials as
necessary; proofreads materials that go out to the public.
